1. Booking & Payments
To lock in and secure your date, Alpha Bravo Media requires a 25% non-refundable retainer (booking fee). This ensures that we turn away other potential clients for your specific date and time. Your booking is not considered official until this retainer is received and the contract is signed.
The remaining balance for your project is due 14 days prior to the event or production start date.
2. Cancellations & Rescheduling
We understand that unexpected circumstances arise. If you need to reschedule or cancel, we require written notice at least 14 days prior to the scheduled date.
- If canceled within 14 days of the event, the client is responsible for 50% of the total remaining balance.
- In the event of rescheduling, the original 25% retainer can be transferred to a new date (subject to our availability) if notice is provided at least 14 days in advance. If we are unavailable on your new date, the retainer remains non-refundable.
3. Creative Control & Revisions
We pride ourselves on our cinematic storytelling, and we value your feedback. To ensure a smooth post-production process, we include the following structured revision rounds in our standard packages:
- Short-form Content (Under 6-7 minutes): Up to three (3) rounds of revisions.
- Long-form Content (Over 7 minutes, documentaries): Up to two (2) rounds of revisions.
Any additional revision rounds beyond these limits will be billed at an hourly editing rate. Revisions should be submitted compiled in a single list format. A “revision” constitutes minor adjustments to pacing, music, or specific clips—it does not cover a complete structural re-edit of the project.
4. Raw Files, Delivery & Archiving
Our completed, color-graded, and sound-mixed films are the final deliverable. However, we understand clients may want untouched archival footage.
- Raw Footage: Full, unedited raw footage is available for an additional fee. To receive raw footage, the client must supply a physical hard drive (USB 3.0 or better) with sufficient storage capacity.
- Archiving: We keep final project files and edited footage archived for 60 days after final delivery. We highly recommend downloading and backing up your final files immediately upon receipt. Alpha Bravo Media is not liable for data loss after this 60-day period.
5. Venue & Halal Guidelines
We are committed to providing services in a completely halal manner that respects our community’s values. At this time, we are exclusively offering videography for the men’s section and non-segregated general events. Until we can bring a dedicated female videographer onto our team to respectfully capture the women’s side, we will strictly adhere to these guidelines.
For events requiring our Audio/PA services or live projection, it is the client’s responsibility to ensure the venue permits us to tap into their soundboards, set up lighting equipment, and utilize staging areas.
6. Copyright & Promotional Usage
Alpha Bravo Media retains the copyright to all recorded video and captured audio. The client is granted a perpetual, non-exclusive license to use, share, and distribute the final deliverables for personal or (if applicable) standard business use.
By booking with us, you grant Alpha Bravo Media the irrevocable right to use recorded media in our portfolio, website, and social media for standard promotional purposes, unless a strict Non-Disclosure Agreement (NDA) is negotiated and signed prior to the booking.
7. Equipment Liability & Venue Logistics
Client assumes responsibility for the safety of Alpha Bravo Media’s equipment while on-site. Any damage, loss, or theft of equipment caused by guests, attendees, or venue staff will be the financial responsibility of the Client.
Furthermore, Alpha Bravo Media is not responsible for audio quality issues arising from poor room acoustics, venue-specific noise restrictions, or electrical system failures provided by the venue. If the venue power supply causes damage to Alpha Bravo Media’s equipment, the Client agrees to facilitate communication and restitution between Alpha Bravo Media and the venue management.
8. A/V Setup & Logistics
For audio and live projection services, the Client is responsible for securing adequate space for equipment setup and ensuring necessary access to the venue at least 2 hours prior to the event start time. If on-site setup is delayed due to venue access issues or lack of clear communication from the Client, Alpha Bravo Media is not responsible for any resulting delays in event commencement.
9. Delivery Timeline
We prioritize a high-quality post-production process. Final deliverables will be provided within 3 to 8 weeks following the event date, depending on the complexity of the project and our current editing queue.
10. Travel & Parking
Travel up to 45 minutes from the Tampa, FL area (including Hillsborough County, Pasco County, and surrounding areas) is included. Travel beyond this radius may incur additional mileage or travel fees, quoted prior to booking.
The Client is responsible for any applicable parking fees, valet costs, or venue access fees required for the Alpha Bravo Media team to provide services on site.
11. Force Majeure & Severe Illness
In the highly unlikely event of severe medical emergency, catastrophic weather, or other acts of God (Force Majeure) that prevent Alpha Bravo Media from performing our duties, our liability is limited to a full refund of all monies paid by the Client, including the retainer. We will make every reasonable effort to find a suitable replacement videographer for your event if such an emergency occurs.
12. Non-Exclusive Coverage & Interference
While we do not require to be the exclusive videographer, the Client understands that the presence of other hired media professionals or enthusiastic guests taking photos/videos may interfere with our shots. While we will work professionally alongside others, Alpha Bravo Media is not responsible for missed moments caused by the physical interference or obstruction of other individuals.
13. Safe Working Environment
The safety of our team and equipment is paramount. Alpha Bravo Media reserves the right to immediately terminate coverage and leave the premises—while retaining full payment—if our team is subjected to harassment, verbal abuse, threats, or an unsafe physical environment from the Client, guests, or venue staff.
